Personal Information - Full name, business name, contact details, login credentials (hashed/encrypted), business profile, ABN (if provided)
Invoice Data - Supplier names, products, line items, prices, totals, purchase and invoice dates, GST/tax values, metadata and attachment info, any information contained within connected inboxes relevant to supplier invoicing
Technical and Usage - Data & IP address, device type, browser, operating system, usage behaviour (pages visited, clicks, features used), cookies and session tracking data
3. How We Collect Data
We collect data through direct input (e.g. sign-up forms, settings),secure integration with your email service (e.g. Gmail, Outlook), automated scanning of inbound emails for supplier invoices, system logs and cookies.
4. How We Use Your Information
We use the collected data to:
- Deliver and maintain the UnitPricer service
- Extract, structure, and analyse invoice data
- Generate weekly cost reports, price alerts, and performance insights
- Improve our platform through internal analytics and usage trends
- Develop pricing benchmarks, comparisons, and other commercial tools

5. Invoice Data Usage
By connecting your email account and using UnitPricer, you grant us full rights to:
- Access and process invoices
- Analyse and extract data line by line
- Use invoice contents and metadata for internal business purposes, reporting, and insights
- Commercially use aggregated, anonymised, or derived data — including price trends, benchmarking tools, supplier performance metrics, and other analytics that may result in financial benefit to UnitPricer
- Store, reproduce, modify, and publish insights from invoice data in anonymised or identifiable form, where lawfully permitted
6. Disclosure of Information
We may share data with:
- Cloud storage and processing providers Accounting platform APIs (e.g. Xero, MYOB) upon user integration
- Our legal and regulatory advisors (if required by law)In business sale or restructure scenarios
We do not sell your personal information.
7. Data Storage and Security
Invoice and user data is stored securely using industry-standard encryption and cloud infrastructure (e.g. encrypted at rest and in transit). Email access is handled through secure OAuth protocols.
Access to data is limited to authorised personnel and protected by internal access controls.
However, no system is immune from risks.
You acknowledge that you use the service at your own discretion and risk.
8. Data Retention
We retain personal and invoice data as long as necessary to provide the service, comply with legal requirements, or for business continuity.
You may request deletion of your data by contacting us, subject to limitations where we are legally required to retain certain records.
9. Your Rights
Where applicable, you may:
- Request access to the data we hold about you
- Request correction or deletion of your personal information
- Withdraw consent (in limited cases)File a complaint with your local privacy regulator
- All such requests must be submitted to the UnitPricer email
